How the contractor invoice generator works

The rate comes from the job site

For work on a building or land, the GST or HST follows the property, not your office. CRA's own example is a Quebec company painting a warehouse in Ontario: it charges Ontario's HST. That's why the first question is where you did the work, and why we don't pick a province for you. A province picked in advance would be a tax rate picked in advance.

Your officeThe job siteIts rate applies

HST is one line, with its rate

CRA wants the rate and the amount on the invoice. For HST it wants the full rate, never split into federal and provincial parts. So the invoice prints one line, like HST 14% (Nova Scotia), worked to the cent on your subtotal. The rate comes from our table for the invoice date. Nova Scotia's standard rate fell to 14% on April 1, 2025. If any part of the price was paid or became due before then, check CRA's transition rules: one invoice can need both rates.

Every line is rounded, then added

Each line is quantity times price, rounded to the cent. The subtotal adds up the rounded lines, so your customer's phone calculator lands on the same number you did. Then each tax is worked on its own base and rounded once.

The deposit comes off after tax

Type what you've actually been paid. CRA doesn't have you collect GST/HST on a deposit until you apply it to the price. So the invoice taxes the full price first, then takes the money off. On our example job, that's the difference between asking for $655.00 and asking for $627.00. The $28.00 gap is the HST on the deposit.

Provincial sales tax is your call

British Columbia, Saskatchewan, Manitoba and Quebec have a provincial tax. The rules differ by province and by what you're supplying. We don't guess. The line stays off until you switch it on, then it's charged only on the lines you tick, on the price before GST.

The check before you send it

If you're registered, the panel under the invoice reads your total and lists what a business customer needs to claim the tax back: three items under $100, six from $100, all nine from $500. We read the total with tax included, so if the list errs, it errs toward asking for more.

We're not your accountant, and an unusual job deserves one: an exempt item, a customer with a special tax status, or property in two provinces.

Who this is for

Contractors and trades who bill job by job:

  • A renovator closing out a bathroom.
  • A handyman with four small jobs this week.
  • An electrician whose customer is a business that will want the tax back.
  • Anyone who works across a provincial line, because the rate comes from the job, not from your letterhead.

Contractor questions about invoices, GST and HST

What needs to be on an invoice in Canada?

For a business customer who wants to claim the GST/HST back, CRA's list grows with the total. Under $100 it's your business name, the date and the total. From $100, add your GST/HST registration number and the tax charged with its rate. From $500, add the customer's name, the payment terms and a description of the work. Our check panel reads your total and shows which of the nine items are still missing.

Do I need to put my HST number on an invoice?

If you're registered and the invoice is $100 or more, yes. A business customer can't claim the tax back without your GST/HST registration number. It's your 9-digit business number, then RT and a 4-digit account number, like 123456789 RT 0001. Under $100 it isn't on CRA's list, but we'd print it every time. If you're not registered and aren't required to be, use No to leave the GST/HST line off. Required to register but haven't yet? Check CRA's guide before making an invoice here: the tax can still apply.

Do I have to charge HST under $30,000?

Yes if you're registered, even below $30,000. Otherwise, CRA counts your worldwide taxable sales and your associates', excluding tax, capital-property sales, financial services and goodwill. Over $30,000 in one quarter? Charge tax on the sale that takes you over and register within 29 days. If you cross the limit over four quarters, you stop being a small supplier after the following month. CRA's guide explains when registration starts. We don't decide it for you.

Do contractors charge HST on materials and labour?

Usually on both. CRA says most goods and services sold in Canada are taxable, and our invoice puts GST or HST on every line you type, labour and materials alike. What it doesn't handle is an exempt or zero-rated item. If part of your job is one, our invoice isn't built for it. Provincial sales tax is a separate question, and we leave it to you, line by line.

Is there PST on labour in BC?

For ordinary installation work on real property, B.C. doesn't charge PST on the labour. Contractors usually pay PST on goods they use to improve the property. B.C. lists exceptions for certain affixed machinery and services done off-site, plus rules for goods that stay movable and agreements making the customer liable for the goods' PST. Our provincial line stays off until you switch it on. Check the rules before ticking a line.

Which provinces have HST?

Five. Ontario charges 13%, Nova Scotia 14% (15% before April 1, 2025), and New Brunswick, Newfoundland and Labrador and Prince Edward Island 15%. Alberta has GST only, at 5%. British Columbia, Saskatchewan, Manitoba and Quebec charge 5% GST plus their own provincial tax. HST goes on the invoice as one line at the full rate.

Do you charge HST on deposits?

Not when you take the deposit. CRA has you collect the GST/HST on a deposit when you apply it to the purchase price. That's why our invoice taxes the full price and only then takes off what you were paid. Take a $200.00 deposit off before tax on a $750.00 Nova Scotia job and you'd ask for $627.00 instead of $655.00.

How long do I have to keep invoices in Canada?

Six years, as a rule. CRA says you usually have to keep your records for six years from the end of the last year they relate to, and it can ask you to keep them longer. We don't keep anything: close this page and the invoice is gone. Print it or save the PDF before you send it, and file that copy.

Which province's rate do I charge for work in another province?

For work on a building or land, the province where the property is. CRA's own example: a Quebec company painting a warehouse in Ontario charges Ontario's HST. So a Gatineau contractor billing $1,000.00 of work in Ottawa charges $130.00 of HST, not $149.75 of GST and QST. If one job covers property in more than one province, CRA's "largest proportion" rule decides, and that's one case our invoice doesn't handle.

A contractor invoice template for Canada that does the tax

A blank contractor invoice template leaves the hardest box to you: the tax. This invoice generator fills it in. Type your lines, answer two questions, and it adds GST or HST for the province where you did the work, plus PST, RST or QST on the lines you choose. It takes the deposit off after tax and shows the balance due. It does receipts too. It prints on letter-size paper, or saves as a PDF from your browser's print window. There's no account and no download. The form doesn't send your entries to a server or save them; you choose what to copy or print. If your old Word or Excel invoice template still carries a 2024 tax line, check it against this one: Nova Scotia's HST changed on April 1, 2025.
